Outsourced Accounting in India for US Companies: What to Check Before You Sign

By the CFOLogic team

Search for outsourced accounting in India and you will find many firms promising the same thing at a fraction of the price. Most of them can do the bookkeeping. Far fewer can do it in a way a US owner, lender or investor will rely on without checking it all again.

The price is real. It is also the least useful thing to compare. This guide covers what to check instead.

None of these is wrong for everyone. A company with a strong in-house controller can manage a staffing vendor well. A founder without one usually cannot, and ends up with a second job.

The checks that matter

Who employs the people on your account. Employees and contractors behave differently. Ask whether the people working on your books are on the firm's payroll, how long they typically stay, and what happens when one leaves in the middle of your close.

Who reviews the work, and where they sit. Every finance team has a doer and a reviewer. Ask who the reviewer is, what their experience is, and whether they are in your time zone. A review that happens overnight in another country is still a review. A review that does not happen is the most common failure in offshore accounting.

Who you call. You want to reach the person accountable for your numbers, not a coordinator who passes the question on and replies tomorrow.

The close calendar. Ask for the close calendar in writing, with dates. Ask what the firm does when a client sends documents late. A partner who works to your calendar will have an answer. One who works to their own will not.

Your systems or theirs. The safest arrangement is a team that works inside your QuickBooks, Xero or NetSuite under named logins you control. Be cautious about any model that moves your data into the firm's own systems or shared spreadsheets.

Security you can verify. Ask about encryption, multi-factor authentication, access reviews and how a departing employee's access is removed. Ask which third-party standards the firm's infrastructure is certified to, such as SOC 2 or ISO/IEC 27001, and ask to see the reports rather than the logos.

The boundary most buyers miss

US tax returns, audits and other attest work are licensed activities. An offshore bookkeeping or finance partner may prepare the books your CPA files from. It should not be signing returns or issuing opinions it is not licensed to give.

Ask directly what the firm does and does not do. A good partner will tell you plainly that tax filing and assurance sit with a licensed US CPA, and will work alongside yours. Be careful with one that offers everything.

Questions to ask before you sign

Who are the named people on my account, and are they employees?
Who reviews their work before it reaches me, and when can I speak to that person?
What is the close calendar, and what happens when I am late with documents?
Will you work in my accounting system, under logins I control?
What happens to my data, and my access, if we stop working together?
Which work will you do, and which will my CPA do?
What does the monthly reporting pack contain, and when do I get it?
Can I speak to two current clients of a similar size?

What outsourcing to India will not fix

It will not fix unclear ownership inside your own business. Someone on your side still needs to approve payments, answer questions about transactions and make decisions on the numbers.

It will not make a messy file clean on its own either. If the books need catching up, budget for a cleanup before the monthly rhythm starts, and expect the first two closes to take longer than the ones after.

And it will not replace judgement. A team can process transactions and produce statements. Someone experienced still needs to read them, notice what changed, and tell you what to do about it.

Frequently asked questions

Is it safe to outsource accounting to India?

It can be, if the work stays in your own systems under logins you control, the partner's infrastructure is certified to a recognised standard such as SOC 2 or ISO/IEC 27001, and access is reviewed and removed promptly when people leave. Ask to see the evidence rather than relying on the sales deck.

How much does outsourced accounting in India cost?

Less than a US-only team for the same scope, because execution is priced at Indian salaries. Compare quotes on scope rather than hours. A low hourly rate means little if the work has to be checked again by someone in the US.

Can an Indian accounting firm file my US taxes?

US tax returns should be signed by a licensed US preparer, usually a CPA or enrolled agent. An India-based partner can prepare the books and the schedules your US preparer files from, which is how most well-run arrangements work.

What is hybridshore accounting?

A delivery model that splits finance work by the kind of work rather than by location. Review, judgement and accountability stay with US-based finance leadership in your time zone, and execution sits with an employed team in India working in your systems.

What should I ask an offshore accounting firm before signing?

Who the named people on your account are and whether they are employees, who reviews the work and where, what the close calendar is, whether they work in your system, what happens to your data if you leave, and which work your CPA will still do.
